ROLE

The Project and Operations Assistant is a full-time contract position responsible for ensuring excellence in NAI’s administrative and operations systems and project processes.  This is critical to the timely and coordinated delivery of effective projects and activities and to NAI’s reputation as a trusted partner. Our organization is in a period of growth, and experience with change management and demonstrated flexibility would be a great asset in this dynamic role. 

The Project and Operations Assistant works collaboratively as a critical part of the team with the Executive Director, NAI Senior Leadership Team, the Board, and NAI project managers. 

This position is the primary point of contact for administrative, operations and projects and works with all members of the organization. The position has a targeted start date of April 28, 2025 and the length of the contract will be 18 months with the possibility of extension.

REQUIRED EXPERIENCE + MINIMUM QUALIFICATIONS

This is a key entry-level position. You have an undergraduate degree or at least 2 years of experience in administrative, operations and project related tasks, either in a non-profit or for profit environment, OR a combination of relevant skills and experience.  You have an operational and systems mindset and work well in a team. 

RESPONSIBILITIES

The successful candidate will be able to execute the following responsibilities:

  • Manage our task management system (Teamwork) including training, templates, activation of new projects, schedule deliverables, and support team members with task tracking and reporting 
  • Coordinate, launch and monitor projects, in collaboration with senior leadership team, including registration organization, activity tracking and reports, co-ordination and correspondence with participants, tech support for virtual workshops, summarize project evaluations and contact management 
  • Team support, develop agendas for and schedule team meetings, retreats and events, facilitate team celebration events, data base management, schedule ad hoc meetings, act as key meeting note taker and ensuring action items are translated into task management system (Teamwork)
  • Organize performance reviews, including scheduling tasks, follow up, updating goal documents and filing in data base.
  • Work with the ED to ensure sound logistical and admin support for Board including Board meetings, retreats and documentation. First point of contact with Board members, coordinating Board committees. And translating board meeting minutes into actions in project software (Teamwork)
  • Update KPIs as outlined in the Strategic Plan with NAI team (2x per year), coordinate with Board to review metrics and goals on annual basis
  • Coordination of grant funding including collaboration with grant lead, translating deliverables, timeline identification and action items in task management system (Teamwork).  Tracking key grant contract and future funders. Responsible for grant research, gathering information, and attending webinars on potential grants.
  • Support coordination and correspondence of new hires, including e-filing documents, on-boarding and off boarding process, and scheduling interviews

To qualify for this position, you have the following skills and experience:

  • Strong initiative / self-motivated, demonstrated accountability
  • Excellent interpersonal and communication skills
  • Highly organized mindset and able to handle multiple tasks from multiple people, with attention to detail
  • Thrives in a remote, virtual team environment
  • Excited by challenges and opportunities for continuous improvement
  • Advanced skills in Microsoft Word and Excel and report writing , you are comfortable learning and using new systems for project and task management (Teamwork)

  • Interest in local government, project management and the environment
  • Willingness to learn new software, methods and systems
